A team admin is someone in charge of a team like a manager, team leader or project manager. A team admin:

  • will be notifified when a member of the thier attends a stand-up
  • can add or remove team members from a team
  • can mark a stand-up as read allowing them to keep track of stand-ups
  • can see stand-ups from all other teams allowing them visibility over tasks or teams that might be blocking their teams progress
  • can delete a team
  • can create new teams
  • can also promote other team members to team admins

Team members cannot leave teams. Only team admins have the ability to remove team members or to remove themselves from a team.

Stand-ups

Our stand-ups have been designed for ease of completion, to be attended asynchronously and to keep everyone in the loop of progress, blockers and questions all without the need for a call. A step-by-step process of how our stand-ups work:

  1. A team member will receive an email prompting them to attend the stand-up.
  2. They will then see the stand-up form. This will ask them typically 5 questions "Did you meet yesterdays goal?", "What do you plan to do today?", "Do you have any questions?", "Do you have any blockers?" and "How are you feeling today".
  3. We link up day to day working, we will ask if they met yesterdays goal. If they answer yes we will show that as "Goal met" and you as an admin will be able to easily see that a team member completed all the tasks they had planned for that day.
  4. When they complete the stand-up they will be taken to the team where they can see other team members stand-ups and also post comments on thier stand-up or other team members. This allows for focused team discussions on a stand-up.

Stand-up goals are designed to allow for easy completion of a stand-up but more importantly allowing a manager/team admin see if a team member met the goals they set. There are two goal states. "Met Goal" and "Exceeded Goal". A quick example of how stand-up goals are applied:

  • Met Goal - A team member attends a stand-up on Tuesday and plans to work on some "Redesign homepage navigation" that day. On Wednesday we will ask did you meet your goal of "Redesign homepage navigation?" If they select "Yes I met this goal" we will mark is a Goal Met and show this clearly.
  • Exceeded Goal - A team member attends a stand-up on Tuesday and plans to work on some "Redesign homepage footer" that day. On Wednesday we will ask did you meet your goal of "Redesign homepage footer?" If they select "Yes I met this goal" we will mark is a goal met and show this clearly but we will also ask "Did you complete any additional tasks yesterday?" if they answer yes to this and enter some additional tasks we will mark this as Exceeded Goal clearly.

This is a really useful indicator to see who generally meets, misses or exceeds the goals that are set for them.

Team members will choose when to be reminded but you can request that they are completed at a certain time. When inviting a team member/members we add a note to the email (which you can change) that asks the team member to use Stand to complete stand-ups and to do so and the start of their working day.

It has been built this way to be flexible and accomodate remote team in different timezones attending stand-ups at different times but you can define a set time to attend if you so wish.
